Terms of Service
Please read these terms carefully before using Proactives Health.

Terms of Service & Health Information Disclaimer
Important Notice:
Proactives is a health information and education service. It is NOT a medical device and does NOT provide medical advice, diagnosis, or treatment recommendations.
1. Educational Service Only
This platform provides health information organization and educational content only. All information should be discussed with licensed healthcare providers before making any health decisions.
2. Not a Medical Device
Under Health Canada's Medical Device Regulations (SOR/98-282), this platform:
- Does NOT make clinical decisions or diagnoses
- Does NOT provide personalized medical recommendations
- Does NOT replace professional medical consultation
- Does NOT monitor health conditions in real-time
3. AI Services & Third-Party Processing
Proactives uses artificial intelligence services provided by the following third parties to analyze, organize, and summarize your health documents:
- OpenAI (GPT models)
- Anthropic (Claude models)
- Google (Gemini models)
- Microsoft Azure AI (Azure OpenAI Service and document intelligence)
All personal health information (PHI) is de-identified before being sent to any AI provider. Names, dates of birth, addresses, health card numbers, and other direct identifiers are stripped or replaced with pseudonyms before processing. AI providers receive only the de-identified clinical content necessary to perform analysis.
4. De-Identification Process
Before any document content is sent to a third-party AI service, our system applies automated de-identification that removes or masks:
- Full names and initials
- Dates of birth, admission dates, and other identifying dates
- Addresses, postal codes, and phone numbers
- Health card numbers and other government identifiers
- Medical record numbers and account numbers
- Email addresses and IP addresses
Only de-identified clinical content (e.g., lab values, medication names, conditions) is transmitted for AI processing. Your original documents with full identifiers remain encrypted within your account and are never sent to third parties.
5. Data Residency
All user data, including uploaded documents, encrypted originals, and account information, is stored in Microsoft Azure Canada Central (Toronto). Data does not leave Canadian infrastructure for storage purposes. De-identified content sent to AI providers may be processed in data centers outside Canada, but contains no personally identifiable information.
6. Your Responsibilities
By using this service, you acknowledge that:
- You will consult healthcare providers for all medical decisions
- Information provided is for educational purposes only
- You will not use this platform for emergency medical situations
- You are responsible for verifying all information with qualified professionals
- You understand that AI-generated content may contain errors or omissions
7. Not for Emergencies
This service is not designed for emergency medical situations. If you are experiencing a medical emergency, call 911 or your local emergency services immediately.
8. Limitation of Liability
Proactives Health provides this service on an “as is” and “as available” basis. We make no warranties, expressed or implied, regarding the accuracy, completeness, or reliability of any information provided through the platform. In no event shall Proactives Health, its officers, directors, employees, or agents be liable for any indirect, incidental, special, consequential, or punitive damages arising out of your use of the service.
9. Governing Law
These terms shall be governed by and construed in accordance with the laws of the Province of Ontario, Canada, without regard to its conflict of law provisions. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of Ontario.
By accepting these terms, you confirm that you understand Proactives is an educational tool, that your health data is processed by third-party AI services in de-identified form, and that all health decisions should be made in consultation with licensed healthcare providers.
